    ESSENTIAL JOB FUNCTIONS


     


    The Office Manager is responsible for the day-to-day coordination of the front office operation, as well as, the administration functions related to the Corporate office area. 


     


     

    Responsibilities

    ESSENTIAL JOB FUNCTIONS


     


    Provides superior customer service to both internal and external customers as defined by Di Bruno Bros. within the scope of Company policy.


     


    Office Management & Administrative Support



    • Provides reception and phone coverage for the office team, including:

      • Answer and route incoming calls

      • Greet and assist visitors, screening as appropriate

      • Respond promptly to general inquiries and requests for information

      • Ensure prompt distribution of messages, post and faxes



    • Arranges meetings, couriers and telephone conferences as requested

    • Assists with filing, photocopying and binding as needed

    • Coordinate donation program and maintain updated records

    • Coordinate employee anniversary program

    • Assist with check stuffing and mailing weekly


     


    Office Maintenance



    • Responsible for office maintenance and cleanliness including reception area, conference rooms, offices,  file room, bathroom, kitchen area, refrigerator

    • Arranges for necessary repairs to office equipment/fixtures

    • Orders office supplies upon request, maintains adequate inventory of basic supplies, keeps supply area organized and neat while staying in defined budget

    • Main contact for all phone, IT and maintenance issues at location; manage office phone system.


     


    Accounts Payable Entry & Reconciliation



    • Enter AP invoices into the accounting system daily

    • Review vendor statements for missing invoices bi-weekly

    • Manage AP email addresses

    • Contact stores & vendors for missing invoices as requested


     


     


    Additional duties as assigned


     


     

    Qualifications

    REQUIREMENTS



    • High School Diploma or equivalent required; Associate’s degree with a concentration in business preferred

    • 5+ years office administration experience

    • Excellent critical thinking skills

    • Ability to read, write and count to accurately complete all documentation

    • Proficiency in Microsoft Office Suites, especially Excel

    • Proficiency in data entry

    • High aptitude for learning new computer applications and software preferred

    • Exceptional accuracy and attention to detail

    • Organization skills and ability to prioritize

    • Ability to multitask in fast paced environment

    • High energy level and drive for timely results

    • Ability to verbally communicate clearly with customers, vendors, employees and co-workers

    • Working knowledge of fax machine, scanner, printer and other office equipment

    • Ability to travel independently between business units as needed

    • Ability to work varied hours/days when required

    • Strong time management skills
